Privacy policy

This policy explains what information MarginMate holds, why, who can see it, and your rights. MarginMate is provided by Damast Limited (company number [CRO number]), [registered address] ("we", "us"). Questions about privacy: [privacy@marginmate.ie].

1. Who this covers

MarginMate is used by retail businesses ("stores") and the people they invite: owners, managers and staff. Most of what MarginMate holds is business information about a store (its sales, costs, waste and promotions). The only personal information is about the people who use it: their name, email address and sign-in details.

For the store's business information, and for the staff a store invites, the store decides what goes into MarginMate and we look after it on the store's behalf (in data-protection terms, the store is the controller and we are its processor). For your own account and for running the service, we are the controller.

2. What we hold

  • Account details: your name, email address, the store(s) you belong to and your role (owner, manager or staff). Your password is stored only in a scrambled (hashed) form that nobody, including us, can read.
  • Your store's business data: the figures from the reports your store sends in, such as product sales and margins, waste and reductions, cost prices and cost changes, profit reports, WOW and promotion details, and cash and carry orders you build in MarginMate.
  • Things you enter: such as your own shelf prices, matches you confirm or reject, jobs you tick off, and settings.
  • Technical records: when data feeds and weekly updates arrive and whether they worked, and the basic logs our hosting providers keep to run and secure the service (for example, the time and address of a request).

We don't hold payment card details, customer (shopper) information, or your passwords for Musgrave, Harmony or any cash and carry. See section 5.

3. Why we use it

  • To provide MarginMate to your store: showing your figures, the weekly list of actions, buying comparisons and so on (to perform our agreement with your store).
  • To let you sign in and to send account emails such as invites and password resets (to perform the agreement).
  • To keep the service secure, fix problems and help your store when it asks (our legitimate interest in running a reliable, secure service).
  • Where the law requires us to keep or disclose information.

We don't sell information, use it for advertising, or share one store's figures with another store. Promotion details that Musgrave publishes to all stores (such as WOW and PA files) may be shared centrally between stores, because they are the same for every store; your own store's figures never are.

4. Who can see it

  • People in your store: owners and managers see your store's figures; staff see a limited view without costs and margins. Owners decide who is invited.
  • MarginMate support: the MarginMate administrator can see a store's figures to set it up and help it. If they join your store to do this, they appear on your People page, and you can remove them at any time.
  • Our service providers, who host and run parts of MarginMate for us, under contracts that require them to protect it: Vercel (website hosting), Supabase (database and sign-in) and Resend (sending account emails). [Add the regions each one stores data in.]
  • Anyone else only if the law requires it.

5. The Store Connector and the Chrome extension

The Store Connector is a program on your store's computer. It signs in to Harmony in its own copy of Google Chrome on that computer, runs your store's reports once a week, and sends the results to MarginMate. Your Harmony sign-in stays on that computer: it is never sent to us.

The MarginMate Chrome extension only works when you press "Send to … basket" in MarginMate. It then opens the cash and carry's website in your Chrome, where you are already signed in, and adds your order lines to the basket. It doesn't read your browsing, doesn't collect information from other websites, and never places or pays for an order. Your cash and carry passwords are never sent to us.

6. Cookies

MarginMate uses only the cookies it needs to work: to keep you signed in, and to remember which store you're looking at. There are no advertising or tracking cookies.

7. How long we keep it

We keep a store's information for as long as the store uses MarginMate. When a store stops using it, we delete its business data and the accounts of its people within [30] days of a request (or of the agreement ending), except for anything the law requires us to keep, and copies in our backups, which are deleted on their normal cycle (within [30] days).

8. Security

Everything is sent over encrypted (HTTPS) connections. Each store's information is kept separate, and the database only lets a person see the stores they belong to. Access needs a password, and data feeds need a connection key that a store owner can turn off at any time.

9. Your rights

You can ask to see the personal information we hold about you, to correct it, to delete it, to restrict or object to how it's used, or to receive a copy. Email [privacy@marginmate.ie]. If the information is held on behalf of your store, we may pass your request to the store owner. You can also complain to the Data Protection Commission (dataprotection.ie).

10. Changes

If we change this policy, we'll update the date above and, for important changes, tell store owners by email.
